  • Create and distribute acknowledgments to customers, sales representatives and other departments.
  • Maintain all machine order files.
  • Prepare and process necessary customs, import and export documents and coordinate shipping activities through freight companies, freight forwarders and customs brokers to secure the best shipping methods and prices. Review freight invoices. 
  • Work closely with LVD international sales offices to coordinate international shipments and process necessary documentation.
  • Regularly attend shipping meetings to update order information and shipping schedules and inform the appropriate sales personnel of schedule changes.  Regularly check and update deliveries, ship dates and machine status for sales representatives and customers.  Coordinate shipping instructions with Production Control and Manufacturing Departments.
  • Update machinery price books and quotations as products and prices are added or changed.
  • Distribute pre-installation information sheets and drawings to customers and sales representatives.
  • Answer telephone and e-mail correspondence from sales representatives and customers regarding a variety of sales and order related subjects.
  • Process daily invoicing.
  • Issue change orders on existing orders as needed (e.g. - shipment date changes, items added or deleted on order, ship to changes, etc.) Distribute change orders to appropriate personnel and departments. Work with the Accounting, Service and Manufacturing Departments to set up part numbers to complete machine orders. Alert Engineering and Production Control to any “special items” listed on machine orders.
  • When requested by sales representatives or customers, generate machine, tooling and software quotations and maintain the company’s quote system.
  • Process, copy and distribute all machine orders. Review all new machine orders and detail special requirements.  Coordinate and expedite tooling orders with machines to achieve common shipments.  Follow-up on letters of credit and finance arrangements.
  • Perform other duties as necessary.
  • Associates degree in business or related field; or minimum two years of sales administration experience.
  • Demonstrated experience utilizing Microsoft Office, Word, Excel, Publisher and PowerPoint required.

  • Ability to multi-task in a fast paced environment
Technical skills/special requirements
  • Proficiency in Microsoft Office (Word, Excel) and familiarization with business operating system (ERPLN).
  • Work environment will consist of a regular office setting with limited occasional exposure to a manufacturing setting.
  • No other employees directly report to this position.
